Villa V respects your personal data and takes care to keep the personal information provided to us or otherwise obtained confidential. Personal data is any information about a person. Also data which indirectly say something about someone are personal data. Examples include (e-mail) address, telephone number; data relating to your device such as IP address and communication preferences; information obtained via cookies about your surfing behavior.

The following implements the information obligation laid down in the AVG to the data subject(s) whose personal data Villa V processes.

Purpose of processing personal data

Villa V processes personal data in order to provide services, improve services and communicate personally with you, the data subject. Villa V processes the personal data listed below solely for the purposes listed below:

The provision of services, consisting of the operation of the Petit Hotel Villa V and all related activities. The processing of personal data is limited to this intended purpose.

Your personal data will not be disclosed to third parties or used for third-party direct marketing purposes unless Villa V is required to do so by law.

Provision of personal data to third parties

We may provide the personal data you provide to Villa V to third parties if this is necessary for carrying out the purposes described above. Personal data will be provided to processors engaged by us with whom a processing agreement has been concluded or independent processors, for example IT, hosting, HR or other service providers, external consultants, accountants or lawyers.

Villa V never passes on personal data to other parties with whom no processing agreement has been concluded. Obviously Villa V will make the necessary agreements with these parties (processors) to ensure the security of the customer’s personal data. Personal data will only be provided to the above parties for the purposes mentioned in this privacy statement, and to the extent permitted by this privacy statement and applicable laws and regulations, or if we have a legal obligation to provide personal data to a competent authority. Parties to whom personal data is provided are solely responsible for compliance with privacy laws. We are neither responsible nor liable for the processing of your personal data by these parties.

Description personal data

Villa V processes the following personal data (types or categories) for the purpose of providing the service or provided by you on your own initiative:

• Your identifying information (e.g., your first name, last name, language and country from where you are in contact with us, contact information, etc.);
• Other personal information provided by you;
• Financial and transaction data (for example, your payment or card details); Data related to connection, ge localization and browser (in case you interact with us via mobile, for example).

The aforementioned personal data are processed by Villa V because they have been provided by you, the data subject, on your own initiative, obtained in the course of providing the service or have become known through public sources. If we ask you to enter your personal data, we may designate some fields as mandatory, as they are data we need to provide you with the service or to process the contact form. If you are required to provide certain data, you will also be informed of the possible consequences if it is not provided.

Purposes and bases for processing personal data

We process your personal data on a legal basis under the General Data Protection Regulation:

We process certain personal data to pursue our legitimate interests. Our legitimate interests include marketing, advertising, research of own services, IT management and security, sending offers, confirming an overnight stay request and in order to answer a question submitted by you. We process personal data for the following purposes, based on the corresponding bases:

1. Offering services, including processing requests related to the services. Basis: Performance of the contract and/or legitimate interest.
2. Improvement of the services offered, including through analysis of their use. Basis: Performance of the contract and/or legitimate interest.
3. Recruitment of staff and/or self-employed individuals, processing of job applications received through our website or otherwise, screening of applicant as needed. Basis: Legitimate interest.
4. To establish and maintain a customer relationship with you, such as to send informational messages about products or services or to respond to questions and requests from you. Basis: Performance of the agreement and/or legitimate interest.
5. Handling, management and billing of services purchased. Basis: Performance of the contract and/or legitimate interest.
6. Sending the newsletter. Basis: legitimate interest and consent.
7. Ensuring security (of IT systems), including data collected through use of access passes and sound and image data such as CCTV or images. Basis:legitimate interest
8. Providing targeted advertisements based on your interests, using cookies and similar technologies to collect the relevant information about you. Basis:legitimate interest and consent.

Minor involved

In those cases, if the data subject is under 16 years of age, the data subject needs the consent of his or her parent or guardian to provide the personal data to Villa V. The parent or guardian can also always modify or delete the data provided to Villa V in that case.

Personal data security

Villa V attaches great importance to the security and protection of your personal data and, taking into account the state of the art, will take appropriate technical and organizational measures to ensure a level of security appropriate to the risk. If Villa V uses the services of third parties, such as an IT supplier, Villa V will, in the interests of personal data protection, lay down agreements on adequate security measures in a processor’s agreement. Villa V will not sell your personal data to third parties and will provide it only if necessary to perform our contract with you or to comply with a legal obligation.

Retention of personal data

We retain your personal data for a period of 2 years after the end of the provision of services, unless we are required by law to retain personal data longer.

Privacy rights of data subjects

A request for inspection, correction, restriction, opposition, transferability of data, deletion of your personal data or withdrawal of previously granted consent, can be sent via the contact details below. You will receive further notice from us within four weeks of receiving your request.

In order to make sure that we provide the relevant personal data to the right person on the basis of your request, we ask you to submit a copy of a valid passport, driver’s license or ID card with a protected passport photo and BSN number for verification purposes. Villa V will only process requests that relate to your own personal data.

Use of social media

Villa V website(s) include buttons (also called buttons) and/or links to promote or share web pages on social (media) networks or third-party websites, such as Facebook, LinkedIn and Instagram. Villa V does not monitor and is not responsible for the processing of your personal data by and through such third parties. Use of those media is therefore at your own risk.
